QURANIC ROOTS ACADEMY
Safeguarding Charter
Last updated: 19 October 2026
Every learner deserves to feel safe, respected and heard. This charter sets out the behaviour expected in our online lessons and how parents, learners and tutors should raise concerns.
1. A respectful learning environment
Quranic Roots Academy expects patient, age-appropriate teaching. Mistakes should be corrected calmly and constructively. Shouting, humiliation, intimidation, threats, discriminatory remarks, inappropriate language and sexualised conduct have no place in a lesson.
Children should be encouraged to ask questions, say when they do not understand and tell a trusted adult if something makes them uncomfortable. A learner should never be asked to keep an interaction secret from a parent or guardian.
2. Parent and guardian involvement
A parent or legal guardian must arrange lessons for a learner under 18 and act as the main contact for the academy. Before lessons begin, discuss the learner’s needs, the teaching arrangement, the communication channel and how a concern can be reported.
A parent should help set up the session and remain available during a child’s lesson. For younger children, stay nearby and check in regularly. Use a suitable shared space where practical, and ensure that the learner knows how to leave the call and contact a trusted adult.
Ask the academy about a tutor’s experience, suitability and any checks relevant to your family’s circumstances. Do not assume that a particular qualification, background check or safeguarding accreditation has been completed unless the academy has specifically confirmed it.
3. Safe use of lesson technology
- Use the lesson platform and contact method agreed with the academy. Keep meeting links and access details private.
- Use an appropriate background and clothing, and keep unrelated personal information out of camera view.
- Do not share passwords, identity documents, home access details or financial credentials during a lesson.
- Keep devices updated, check privacy settings and report unexpected messages or participants.
- If unsuitable content appears or the learner feels unsafe, end the session and tell a parent and the academy.
Technical controls support safety, but do not replace adult supervision or a learner’s ability to speak up.
4. Professional communication and boundaries
Tutor communication should stay focused on learning and lesson arrangements. Messages about a child’s lessons should go through the parent or guardian and the academy-approved channel. Tutors should not seek private social-media friendships with children, arrange secret conversations, request personal photographs or move a child to an unapproved private channel.
Gifts, financial requests, personal favours or invitations unrelated to the agreed teaching arrangement should be raised with academy management. Parents should contact the academy directly about payments and changes rather than sharing financial information privately with a tutor.
5. Recordings, screenshots and promotional videos
A recording or screenshot must not be treated as an automatic part of enrolment. Explain the reason for any proposed recording, who will have access and how it will be used before seeking appropriate permission.
Identifiable footage of a child must not be published for marketing without separate permission from their parent or guardian. An adult learner’s permission is also required before using their identifiable recording publicly. Consider the learner’s wishes as well as parental permission. Families can contact us about withdrawing optional permission for future use.
Do not repost or forward another learner’s image, voice, name or class material to an unrelated person. Further information is available in our Privacy Policy.
6. How to report a concern
If a learner may be in immediate danger, contact the emergency services or child-protection authority in your location. The academy contact channels are not an emergency service.
For an academy-related concern, contact academy management directly:
Email: info@quranicrootsacademy.com
Phone / WhatsApp: +92 312 8602811
Use “Safeguarding concern” as the email subject. Include the relevant lesson date, the people involved and a brief factual account. Keep relevant messages where safe to do so. Do not send explicit imagery, conduct your own investigation or contact a person you believe may place the learner at further risk.
If your concern involves a tutor, report it to academy management rather than relying on that tutor to pass it on. If you do not feel safe reporting through the academy, seek help from a trusted adult or an appropriate local safeguarding authority.
7. Responding to a concern
Concerns should be taken seriously and handled with the learner’s welfare first. The academy’s response should include listening, recording relevant facts, considering immediate protective steps and obtaining appropriate advice or referring a matter to an authority where necessary.
Information should be shared only with people who need it to protect the learner or address the concern. Absolute confidentiality cannot be promised where safety or a legal obligation requires disclosure. A lesson or tutor arrangement may need to be paused while a concern is assessed. A person raising a concern in good faith should not be penalised for speaking up.
8. Working together
Parents, learners and tutors all have a part in making lessons safe. Review these expectations before starting and raise questions early. This charter will be updated as academy arrangements develop; the revised date appears at the top of the page.
