1. Who we are

2. Information we receive

• Enquiries and trial requests: the name, email address, telephone number, course interest, learner age or age group, preferred lesson times, and any message you choose to provide.
• Lesson arrangements: scheduling messages, attendance information, learning goals, teaching notes and feedback needed to support the learner.
• Payments: information needed to identify your selected plan and confirm payment, such as a transaction reference. Do not send full card numbers, PINs, passwords or banking credentials to us by email, WhatsApp or a website form.
• Website use: technical information that our hosting and security systems may process, such as IP address, browser information, login attempts and basic server logs.

Please share only what is needed for your enquiry. Avoid including identity documents, detailed medical records or other sensitive information in a general contact form.

3. How we use information

We use information to answer questions, arrange trials, match lessons to a learner’s starting point, agree schedules, communicate with parents or adult learners, maintain payment and service records, resolve concerns and protect the website against misuse.

Where applicable law requires a legal basis, the relevant purpose may be responding to your request, arranging or delivering a service, meeting a legal obligation, protecting legitimate security and administrative interests, or using permission you have provided. Optional permission can be withdrawn by contacting us; this does not undo processing that was already lawful.

4. Children and parents

A parent or legal guardian should arrange lessons and provide the main contact details for a learner under 18. We ask for learning information relevant to the lesson, rather than unnecessary details about a child’s private life.

Parents can ask what information has been provided about their child and request a correction or deletion where appropriate. We may need to confirm identity and parental responsibility before sharing information. Children can ask a trusted adult to help them raise a privacy question.

5. Service providers and external platforms

Information may be available to the academy team, the assigned tutor where needed for teaching, and providers that support hosting, website forms, security, communications or payments. Access should be limited to the information needed for their role.

Messages sent through WhatsApp, email providers or social platforms are also processed under those providers’ terms and privacy policies. Our pages may embed YouTube videos or a Google map. Loading an embed can share technical information, including your IP address, with the provider and may involve cookies or similar technologies. A privacy-enhanced YouTube embed does not mean that no information is transmitted.

External links take you to services we do not control. If a service processes information in another country, its location and applicable rules may differ from yours. Contact us if you need more information before using an optional platform.

6. Recordings, photographs and teaching examples

Do not assume a class is recorded. Any proposed recording should be explained beforehand, including its purpose and who can access it. Publishing a learner’s image, voice or identifiable class recording for promotion requires separate permission from the adult learner or the child’s parent or guardian. Agreeing to lessons is not, by itself, permission to appear in promotional content.

7. Cookies and security

WordPress and related services may use cookies for functions such as administrator sessions, security and embedded content. You can manage cookies in your browser and use the privacy controls offered by external platforms. Blocking cookies may affect some functions.

We use website security and access controls, but no online service can promise complete protection. Keep your own devices and accounts secure, and tell us promptly if you suspect misuse involving academy information.

8. Keeping and removing information

Information should be kept only for as long as it is needed for teaching, administration, resolving issues or meeting applicable recordkeeping duties. The appropriate period depends on the type of record and why it is held. You can ask us about a particular record or request its removal. Some information may need to remain for legal or safeguarding reasons, and backup copies may be removed on a different cycle.

9. Your choices and requests

Contact us to ask about information we hold, correct inaccurate details, request deletion, raise an objection, withdraw optional permission or stop optional promotional messages. The rights available and any exceptions depend on the law that applies to your circumstances. We may ask for limited information to verify a request and will explain if it cannot be fulfilled.

If a concern remains unresolved, you may be able to contact the relevant data protection authority in your location. Changes to this policy will be shown on this page with a revised date.
